Position: Administrative Assistant

Location: Napa Office (In-Person)

Type: Part-time (with pathway to Full-time)

Pay: $20 - $30 dollars per hour

The Administrative Assistant at JWM is more than just a supporting role; it's a cornerstone of our operations. This position offers a unique opportunity to be at the heart of our client-focused approach, ensuring seamless interactions and upholding our commitment to excellence.

Key Responsibilities

  • Client Onboarding: Opening client account; preparing and submitting paperwork; following up with clients;  
  • Client Relations: Answering phones; greeting clients; answering administrative questions; Maintaining up to date client records;
  • Documentation: Generating and storing copies and records; 
  • Office Logistics: Maintaining office supplies and office cleanliness;
  • Advisor Support: Scheduling appointments; generating reports; completing other requests;
  • Marketing Support: Coordinating marketing events; finding venues; event planning; marketing management; producing external documents

Qualifications

Educational and Professional Background:

  • Bachelor's degree in Business Administration, Finance, or a related field preferred; or equivalent professional experience.
  • Prior experience in an administrative role, preferably within the financial sector or in client-facing positions.

Technical Skills:

  • Proficiency in Microsoft Office Suite, particularly Excel, Word, and PowerPoint.
  • Familiarity with client management software and database systems (CRMs)
  • Quick adaptability to new software and technology tools introduced in the workspace.

Time Commitment:

  • Ability to work on a part-time basis with the intent to grow into a full-time role within the near future (1-3 years). 

Communication Skills:

  • Exceptional verbal and written communication skills to ensure clear and effective communication with clients, team members, and vendors.
  • Ability to interpret and convey complex financial information to clients and team members.

Organizational Abilities:

  • Strong organizational and multitasking skills to manage multiple tasks and deadlines efficiently.
  • Attention to detail, ensuring accuracy in all tasks including data entry, report generation, and client correspondence.

Interpersonal Skills:

  • Ability to work collaboratively with team members and build strong working relationships.
  • Excellent client service skills, with an understanding of the importance of discretion and confidentiality.
  • Empathetic and patient, able to understand and address client concerns effectively.
